Privacy Policy

Last updated: 2 October 2026 · Applies to the AIZennect website and early-access/research enquiries.

In short: AIZennect is in development. This website collects professional enquiry information when you submit the form. Optional analytics are not loaded unless you choose to allow them. Do not submit information about care recipients, residents, patients, or other people who have not authorised you to share it.

1. Who we are

The website and AIZennect project are operated by FLR HOLDINGS UK LIMITED ("we", "us", "our"), a company registered in England and Wales, company number 16970627. Registered office: 3rd Floor, 86–90 Paul Street, London, England, EC2A 4NE.

Privacy enquiries: hello@aizennect.com. We act as controller for personal data collected through this website, except where this notice explains otherwise.

2. Information we collect

  • Enquiry details: name, work email, professional role, organisation, care setting, town/county, selected interest, optional LinkedIn profile and the optional description of an operational challenge.
  • Communications: information you send us and our responses.
  • Marketing preference: whether you opted in to occasional project updates and any later withdrawal.
  • Consent preferences: your cookie choices and when the choice was recorded, where technically available.
  • Technical data: limited server/security logs generated by hosting and delivery infrastructure. Analytics data is processed only if you opt in to analytics cookies/technologies.

Please do not provide special-category data, health information, care records, safeguarding details, resident/patient information, passwords, payment-card details or confidential third-party information through the early-access form.

3. Why we use information and our lawful bases

  • To respond to an enquiry or discuss research/pilot interest: legitimate interests in understanding interest in the project and responding to professional enquiries; where appropriate, taking steps at your request before entering a potential agreement.
  • To send optional project updates: consent where required by applicable electronic marketing rules. You can withdraw this at any time.
  • To operate, secure and troubleshoot the website: legitimate interests in maintaining service availability, preventing abuse and protecting systems, balanced against your rights.
  • To measure website use: consent for non-essential analytics technologies. You can refuse or withdraw analytics consent without losing access to the website.
  • To comply with legal obligations or establish, exercise or defend legal claims: legal obligation or legitimate interests, as applicable.

4. Form submissions and third-party service providers

The website form is delivered through Web3Forms. Website files may be hosted using Hostinger. The site also requests web fonts from Google Fonts, which may receive technical connection data such as your IP address and browser information when the font files are requested. If you accept analytics, the website may load Google Analytics 4 (Google) and Umami Analytics (Umami Cloud). These providers may process data on our behalf or in their own capacity under their respective terms. They may receive technical identifiers, IP-related information, device/browser details, page interaction data, and form information where transmitted to them; we do not intentionally send form field contents to analytics tools.

We aim to limit access to information to people and providers who need it for hosting, form delivery, security, analytics you consented to, professional advice, or legal compliance. Provider names, roles, data locations and contractual terms can change; we will update this notice when material changes affect the processing. Review each provider's current privacy and data-transfer information for its own processing.

5. International transfers

Some service providers or their support/sub-processors may process data outside the United Kingdom. Where UK data-protection law requires safeguards for a restricted transfer, we will use an applicable mechanism, such as UK adequacy regulations, the UK International Data Transfer Agreement or UK Addendum, and conduct any required transfer risk assessment. The exact transfer route depends on the provider, service configuration and current contractual terms.

6. Retention

We keep personal data only for as long as reasonably necessary for the purpose collected, including legitimate business, security and legal needs. Our intended operational schedule is to review and normally delete or anonymise inactive research/enquiry records within 24 months of the last meaningful contact; keep marketing suppression/consent evidence for as long as needed to honour preferences and demonstrate compliance; and review technical security logs on a shorter schedule, normally within 90 days where under our control. Legal claims, active discussions, security incidents or provider backup cycles may require longer retention. We must configure and verify provider-side retention separately; these periods are not a promise about a third party's independent retention.

7. Your rights

Subject to applicable law, you may request access, correction, erasure, restriction, portability, or object to processing based on legitimate interests. Where processing relies on consent, you may withdraw consent at any time; withdrawal does not affect processing already carried out lawfully. You can opt out of project updates using the unsubscribe method provided or by emailing us. We may need to verify your identity before acting on a request.

Contact hello@aizennect.com to exercise your rights. You also have the right to complain to the UK Information Commissioner's Office (ICO) at ico.org.uk/make-a-complaint. We would appreciate the chance to address your concern first.

8. Children and sensitive information

This website is aimed at professional stakeholders and is not directed to children. Do not submit children's data or personal data about care recipients. AIZennect is not currently inviting or authorising the submission of live care records through this website.

9. Security

We use reasonable technical and organisational measures appropriate to this early-stage website. No internet transmission or storage method can be guaranteed completely secure. Please do not send confidential or highly sensitive information through the form.

10. Automated decisions

We do not use the website enquiry form to make solely automated decisions producing legal or similarly significant effects about you.

11. Changes and contact

We may update this notice to reflect changes in law, providers or our processing. The latest version will appear on this page with its updated date. We will provide additional notice where required for material new uses of personal data. Contact: hello@aizennect.com.
